High School Reunion FAQs

Common questions from reunion planning committees

How far in advance should we book our high school reunion venue?

We recommend booking 6-12 months in advance, especially for popular dates like summer weekends or holiday seasons. However, we can often accommodate last-minute reunions with 2-3 months notice. The earlier you book, the more venue options and dates you'll have available.

What's the best venue size for our reunion if we're not sure how many people will attend?

Great question! Most reunion committees see about 30-50% attendance from their graduating class. We recommend booking a venue that can comfortably accommodate your expected maximum, with flexible layouts that work for smaller groups too. For example, Swans Pub can host 150 but can be configured for groups as small as 40.

Can we bring our own decorations, yearbooks, and memorabilia?

Absolutely! We encourage bringing yearbooks, old photos, and class memorabilia. We provide display tables and can help you set up a memory lane area. Just let us know what you're planning so we can ensure adequate space and setup time.

Do you offer menu tastings before we commit?

Yes! For reunions with 100+ confirmed guests, we offer complimentary menu tastings for up to 2 committee members. This lets you sample our cuisine and make confident menu decisions for your classmates.

What's your cancellation or rescheduling policy?

We understand reunion planning can be unpredictable. We require a 50% deposit to secure your date. If you need to cancel or reschedule, contact us as soon as possible. Cancellations more than 90 days out receive a 75% refund; 60-90 days receives 50%. We'll work with you to find solutions if circumstances change.

Can you accommodate dietary restrictions and food allergies?

Yes, absolutely. Our chefs regularly accommodate vegetarian, vegan, gluten-free, and other dietary needs. Just provide us with a count and specific requirements at least 2 weeks before your event.

Is there parking available for our guests?

All our downtown venues have nearby parking options including street parking (free after 6pm and weekends) and paid parkades within 2-3 blocks. Swans Pub and Part & Parcel also have street parking nearby. We'll provide parking maps and recommendations when you book.

Can we play our own music or hire a DJ?

Yes! Most venues have sound systems you can connect to (aux or Bluetooth), and you're welcome to bring your own DJ or live music. Some venues have noise restrictions after certain hours, which we'll discuss during planning. A/V equipment for slideshows and videos is also available.
